01 / Getting Started

Sign in, navigate and keep the app close.

Personal Finance Manager is a signed-in web workspace that adapts to phones, tablets and desktops with local caching for previously loaded records.

Where in the app: Sign-In Screen · Bottom Navigation (Phone/Tablet) · Left Sidebar (Desktop)

  1. Sign in or create an account

Open the web app and sign in with your email address and password, or choose Continue with Google. Email users can also link a Google account later under More & Settings → Account.

  2. Navigate across devices

On phones and tablets, use the five-tab bottom bar (Home, Transactions, Add, Analysis and More). Under More & Settings, shortcuts open Savings Goals, Accounts & Transfers, Subscriptions, and Merchants & Payment Instruments. On desktop screens, the left sidebar shows all nine screens directly.

  3. Use PWA & offline reading cache

Add the web app to your home screen where supported. Previously loaded records remain readable offline via local cache, and a top banner appears when a new app version is ready to apply.

02 / Income & Expenses

Record, filter and tidy daily transactions.

Enter everyday expenses or income quickly, search across six filter dimensions, and distinguish actual spending from future-dated records.

Where in the app: Add (/transaction) · Transactions (/transactions)

  1. Record an expense or income

Open Add (記帳), choose Expense or Income, enter the HKD amount, type or match a Merchant name, and select a Category chip. Expand More Details (更多資料) to add a note, change the date, choose a payment method or instrument, link an account, or fund an expense from a Savings Goal.

  2. Search and filter your ledger

In Transactions (交易), switch between Monthly, Last 90 Days, Year-to-Date or Custom Dates. Search by merchant, alias, note or amount, and combine filters for type, category, merchant, account, payment instrument and currency.

  3. Duplicate, edit or step through cleanup

Use Duplicate on any row to pre-fill a new entry for today, or Edit to update details with concurrent-edit protection. Use the Pending Details (待補充資料) queue to step through expenses that still need a canonical merchant or specific payment instrument.

03 / Accounts, Transfers & Directory

Organise accounts, transfers, merchants and payment tools.

Keep track of where your money sits across cash, bank, wallet and credit accounts, and maintain clean merchant and payment-instrument records.

Where in the app: Accounts & Transfers (/accounts) · Merchants & Payment Instruments (/directory)

  1. Create accounts with base currencies

In Accounts & Money Flow (帳戶與資金流), add Cash, Bank, E-Wallet or Credit accounts (Credit accounts track available credit). Set a 3-letter ISO base currency (such as HKD, USD or JPY) and an opening balance.

  2. Record same-currency transfers

Use Account Transfers (帳戶間轉帳) to move money between two accounts of the same currency. Transfers update both account balances and appear in Recent Money Flow without counting as income or expense.

  3. Manage merchants and payment instruments

Open Merchants & Payment Instruments (商戶與付款工具) under More & Settings to rename merchants, add aliases, merge duplicate merchant names, and save credit cards, debit cards, e-wallets or bank payment tools (with optional last-4-digit labels and linked accounts).

04 / Budgets & Analysis

Plan monthly HKD budgets and review where money goes.

Combine monthly HKD category limits with upcoming commitments on the dashboard, then explore multi-period trends and six breakdown dimensions in Analysis.

Where in the app: Home (/dashboard) · Manage Category Budgets · Analysis (/analysis)

  1. Check the Daily Decision (HKD) card

At the top of Home (首頁), the Daily Decision card subtracts actual expenses, future-dated transactions and pending subscriptions from your monthly HKD budget to show your remaining budget and daily safe-to-spend allowance.

  2. Set or copy monthly HKD category budgets

Select Manage Category Budgets (管理分類預算) from Home, Analysis or More & Settings. Enter HKD limits for individual expense categories, switch between months, or select Copy Last Month’s Budget (複製上月預算) to preview and apply the previous month’s plan.

  3. Compare periods and drill into six dimensions

In Analysis (分析), choose Monthly, Yearly or Custom Dates and compare against the previous month, same month last year or 3/6/12-month averages. Switch between Category, Merchant, Payment Type, Payment Instrument, Account and Subscription tabs to inspect detailed breakdowns.

05 / Savings Goals

Follow progress through deposit records or a linked account.

Track dedicated savings targets with a clear contribution ledger or link a goal directly to a bank or savings account balance.

Where in the app: Savings Goals (/goals)

  1. Create a savings goal

In Savings Goals (儲蓄目標), enter a goal name, target amount, optional opening deposit and optional target date.

  2. Record deposits or link an account

For standalone goals, select Deposit (入金) on the goal card to add contributions, or choose the goal under Paid From Goal when recording an expense. For account-linked goals, progress follows the linked account’s balance and transfer records.

  3. Review contribution history

Select Records (記錄) on any goal card to inspect every deposit and goal-funded withdrawal sorted newest-first.

06 / Subscriptions

Keep recurring charges and trial end dates visible.

Track weekly, monthly, quarterly and yearly services, link them to canonical merchants and payment instruments, and stay ahead of trial renewals.

Where in the app: Subscriptions (/subscriptions)

  1. Add a recurring subscription

In Subscriptions (訂閱管理), enter the subscription name, link or create a canonical merchant, set the amount, choose the billing cycle (Weekly, Monthly, Quarterly or Yearly), select a category and payment instrument, and set the next billing date.

  2. Track trial end dates and reminders

Optionally set a Trial End Date (試用結束日) and reminder window (default 7 days). Active trials approaching their end date appear in the Trial Reminders (試用提醒) card.

  3. Auto-posting, pause and budget impact

When an active subscription reaches its billing date, the app posts the expense transaction and advances the next billing date. You can pause (停用) inactive subscriptions at any time so they stop reserving upcoming budget.

07 / Receipt OCR

Scan a receipt photo and confirm unclear fields.

Use AI-assisted receipt recognition to pre-fill expense details while keeping human confirmation in control of every saved number.

Where in the app: Add (/transaction) → Scan Receipt · More & Settings → Receipt Scan History

  1. Capture or choose a receipt image

While signed in and connected to the internet, open Add (記帳) and expand Scan Receipt (掃描收據,自動帶入資料). Choose Take Photo or Choose from Library; the card displays your remaining daily OCR quota.

  2. Check field confidence badges

Review the AI Preliminary Result (AI 初步結果) panel showing High, Medium or Low confidence badges for amount, merchant, date, category and payment candidates (such as Octopus, FPS, PayMe, AlipayHK or card types). Unclear amounts or dates remain blank for your input rather than guessing.

  3. Handle duplicate alerts and save

If an existing expense matches the same amount within one day, a Possible Duplicate Transaction (可能重複交易) notice lets you inspect the original record, cancel, or explicitly confirm before saving. Past scans can be reviewed under More & Settings → Receipt Scan History.

08 / Data Export, Backups & Settings

Export CSV reports, validate JSON backups and set date formats.

Keep portable copies of your records with spreadsheet-ready CSV exports and schema-validated full JSON workspace backups.

Where in the app: More & Settings (/profile)

  1. Export all transactions to CSV

Under More & Settings → Data & Reports, select Export All Transactions CSV (匯出全部交易 CSV) to download a UTF-8 spreadsheet file including Date, Type, Amount, Currency, Category, Merchant, Note, Payment Method and Subscription columns.

  2. Back up and restore full workspace JSON

Under Data Backup & Restore (資料備份與還原), download a complete JSON backup of your workspace. When restoring from a backup file, the app validates the schema, displays a per-collection difference table, and automatically downloads a pre-restore snapshot of your current data first.

  3. Customize date format and appearance

Switch between DD/MM/YYYY, YYYY-MM-DD and MM/DD/YYYY date formats and toggle light or dark mode under More & Settings.
